Annual Meeting

The Board has set the date for the Annual Members Meeting. Join us Wednesday, November 18, 2015 at the Poulsbo Library. Sign in will begin at 6:45 pm and the meeting will begin promptly at 7:00 pm. Please be looking in the mail for your newsletter, meeting notice, meeting agenda, adopted 2016 budget and proxy. This meeting requires a quorum for actions that need to be taken. If you cannot attend in person, please fill out your proxy form prior to the meeting and hand it to the appropriate person to bring with them to the meeting. Hope to see you there.

HOA Update Sept 8, 2015

We regret to inform you that Justin Foley has tendered his resignation as HOA President. For the immediate time being, the Secretary will be acting President (Avondale Glen By-Laws, Article 6, Section 5). If any homeowner in good standing is interested in becoming the successor for the duration of Justin’s term (Avondale Glen By-Laws, Article 5, Section 5), please contact the HOA at avondaleglenpresident@gmail.com. The duration for the current Presidential Term runs until December 2016.

Additionally, the Board is currently researching and seeking a professional management company to assist in the future success of the Avondale Glen HOA (CC&R Article 3, Section 5, subparagraph k).

Once more information is available, the Board will schedule a Director’s meeting to accept the resignation of the current President, appoint a new President, as well as discuss the approval of any proposals the Board receives regarding professional management.

Congratulations to Julie P. on her appointment to the Secretary position!

Please anticipate a board meeting in the future to address… (landscaper, secretary acclimation, mailbox concerns, etc). This meeting will  be held in a public facility. All neighbors are welcomed and encouraged to attend!

We are interested in consulting a management company to take over the responsibility of the board. Due to the landscaper costs, attorney costs, and neighbor disagreement on interpretation of CCR’s, we feel that this may be a valuable option for our neighborhood at this time.

Board Meeting 7/21

There will be a short board meeting Tuesday the 21st at 7:00 p.m. at the president’s home, 2711.  On the agenda is secretary replacement options and fines for late payment (closed session).  As always, observers are welcome, however, childcare is NOT provided.  It is a meeting for adult homeowners only.  Thank you!

A homeowner requested to see all documents pertaining to the purchase and installation of our new locking mailboxes.  All processes and documents have been vetted by the HOA attorney, who found no problems.

Additionally, there were numerous conversations with the contractor and the postmaster to make sure everything was done correctly and on schedule.

The new mailboxes are covered under our HOA insurance policy and there is a line item in the budget for maintenance as needed.

Mailbox Concerns

The board meeting minutes from 4-2-2015 that are posted on the HOA website include the quote with the breakdown of installation costs.  The invoice looks exactly the same except it says invoice instead of quote.  You are welcome to set up an appointment with the treasurer to view that piece of paper.

To address the other list of concerns:

The mailboxes were installed by a licensed contractor who has been in business for 16 years.  Additionally, the postmaster found no problems with the installation.  The contractor is returning next week for finishing touches and final inspection.  There are 49 homes and 4 mailbox stands.  There are exactly the amount of mailboxes as there are physical addresses, and yes, all 4 stands are not identical because of the odd number of homes.  The post office determined which CBUs were installed where, and who gets which box.  The HOA board members had no input into that process.  The mailbox committee contacted multiple companies to solicit quotes, and this was the only mailbox contractor willing to take on our small project in Kitsap County.  The board members elected not to act as the general contractor so that we could have a single point of contact for the work.  The 2015 budget includes a line for mailbox maintenance, should anything arise, and it is our intention to continue that into the following years.  The insurance policy covers HOA property and is being updated to specifically address the mailboxes.

Mailbox Update

The postmaster himself came and installed the locks this morning and said the mail carrier would be out later today to deliver.  Yea!  Second, the contractor will be back Tuesday to do the finishing work (trimming bolts, grouting the bases).  So we are ALMOST to the finish line.  Please see previous post about collecting keys, if you haven’t had a chance to do that yet.  Thank you so much for your patience during this process and all of the positive feedback about how great the new boxes look.  It makes all the hard work worth it.
